The Ottawa office of Prairie State Legal Services is seeking an EXECUTIVE SECRETARY (approximately 37.5 hours per week). 

Job Description and Qualifications

The Executive Secretary shall, in general, supervise all of the day-to-day work of the secretarial staff within the PSLS local office to which he/she is assigned. More specifically, the Executive Secretary's duties shall include the proficient operation of the office equipment; training other secretarial staff in the conduct of their duties; participating in and supervising and assisting other secretarial staff in the preparation (that is, typing drafts, making revisions and creating final copies) of pleadings, briefs, legal documents, correspondence, and other documents; photocopying; e-filing pleadings; coordinating and distributing the workload among the secretarial staff; maintaining the case and form files; answering the telephone and greeting clients/guests as needed; assisting with fundraising; working with the firm’s IT personnel to maintain office computers; working with clients, including gathering information; being the contact and otherwise assisting the Managing Attorney in the conduct of his/her duties. In addition, the Executive Secretary shall, under the supervision of the Managing Attorney, order supplies; maintain litigation and client trust accounts; supervise clerical volunteers; serving as the office contact for interns and other volunteers; monitor case transfers to the office from the Telephone Counseling Service and arrange for scheduling intake or review and other client appointments; update case assignments in the case management system; monitor data entry accuracy; and meet case compliance checklist obligations and review checklists at case closing. Experience is preferred. This position is not a paralegal position. 

Qualifications:  Interest in and commitment to assisting low-income individuals in the resolution of their legal problems. Successful candidate must have strong computer skills and general office experience, preferably Microsoft Word and Excel; legal experience preferred. Spanish-speaking is preferred, but not a requirement.
